1. Introduction

Dispatcher LLC ("Dispatcher," "we," "us," or "our") operates the hiredispatcher.com website and app.hiredispatcher.com platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services.

Dispatcher is an AI dispatch platform that connects AI Voice systems to supported jobs platforms. We process call data, booking information, and integration credentials on behalf of our customers (service contractors and agencies).

2. Information we collect

2.1 Account information

When you create an account, we collect:

  • Name and email address (via WorkOS authentication)
  • Organization name and contact details
  • Billing information (processed by Stripe; we do not store credit card numbers)

2.2 Dispatch data

When your AI Voice sends dispatch requests, we process:

  • Caller phone number and name
  • Service requested and appointment preferences
  • Service address information
  • AI Voice session identifiers
  • Call recordings (when enabled by your AI Voice provider)

2.3 Integration credentials

To connect with your jobs platform, we store the OAuth access tokens and refresh tokens for the platforms you authorize. These credentials are encrypted at rest and used only to create and manage jobs on your behalf.

2.4 Usage data

We automatically collect usage information including page views, feature usage, API call volumes, and error logs to improve our service.

3. SMS messaging

3.1 SMS opt-in and consent

Our contact form offers two separate SMS consent options:

Transactional messages: When you submit our contact form and check the transactional consent checkbox, you consent to receive transactional SMS messages from Dispatcher LLC, including appointment confirmations, service updates, account alerts, and reminders. Message frequency may vary.

Marketing messages: When you submit our contact form and check the marketing consent checkbox, you consent to receive marketing and promotional SMS messages from Dispatcher LLC. This consent is separate from transactional consent and is entirely optional. Message frequency may vary.

Message and data rates may apply. You can opt out at any time by replying STOP to any message or by emailing privacy@hiredispatcher.com. Reply HELP for assistance. SMS consent is not a condition of purchase or service.

3.2 Mobile information sharing

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Your mobile information is used solely by Dispatcher LLC for the message categories described in Section 3.1 above. GoHighLevel processes phone numbers on our behalf solely as our SMS sending platform and is considered a subcontractor in support services for the purposes of this policy.

4. How we use your information

We use the information we collect to:

  • Process dispatch requests and book jobs into your jobs platform
  • Calculate and bill usage-based charges ($2/call, $10/job)
  • Authenticate your account and manage sessions
  • Send transactional emails (booking confirmations, usage summaries)
  • Monitor service health and debug issues
  • Improve our dispatch algorithms and platform features

5. Third-party services

We share data with the following third-party services as necessary to operate Dispatcher:

  • Convex — Database and backend infrastructure
  • WorkOS — Authentication, SSO, and user management
  • Stripe — Payment processing and usage-based billing
  • GoHighLevel — SMS sending platform and subcontractor in support services for contact-form messaging workflows
  • Vercel — Website and application hosting
  • Sentry — Error monitoring and performance tracking
  • Inngest — Background job processing for dispatch workflows
  • Supported jobs platforms — Only the platform or platforms you authorize
  • Supported AI Voice platforms — Only the platform or platforms you connect

We do not sell your personal information to third parties.

6. Data retention

We retain your account information for as long as your account is active. Dispatch request data is retained for billing and audit purposes and periodically reviewed for deletion. Call recordings are retained for 90 days and automatically expired. To request account deletion or data removal, contact us at privacy@hiredispatcher.com. We will process deletion requests within 30 days, except where retention is required by law.

7. Data security

We implement industry-standard security measures including:

  • Encryption in transit (TLS 1.2+) and at rest
  • OAuth 2.0 for jobs platform integrations (no API keys stored in plaintext)
  • HTTP-only secure cookies for session management
  • Role-based access controls within organizations
  • Regular security audits and dependency updates

8. Your rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict certain processing
  • Export your data in a portable format

9. Cookies

We use essential cookies for authentication and session management. We may use analytics cookies to understand how visitors use our marketing site. We do not use advertising or tracking cookies.
